Privacy & Cookie Policy
This page explains what personal data Teekonda collects, why we collect it, who we share it with, and how we use cookies and similar technologies on this website. You can change your cookie choice at any time.
Who We Are
Teekonda Europe OÜ (“Teekonda”, “we”, “us”, “our”) is the data controller responsible for the personal data described in this policy. We are a company registered in Estonia under registry code 17446800, with our registered seat at Tuukri 19, 10120 Tallinn, Estonia.
- Email: privacy@teekonda.com
- Website: teekonda.com
- Hosting: our website and booking platform are hosted with Infomaniak, on servers located in Switzerland.
This policy applies to teekonda.com and to any booking, account, or communication you have with us through the website. It does not apply to third-party websites you may reach through links on our site.
Data We Collect
We collect personal data in the following categories, depending on how you use our website and services:
- Account and booking data: name, email address, phone number, billing and shipping address, and details you provide about your trip, such as travel dates, group composition, and preferences.
- Travel document data: where a specific trip requires it, passport or ID details, visa status, or health and dietary information you choose to share with us for your safety during the trip.
- Communication data: messages you send us through contact forms, live chat, or email, including their content and metadata.
- Payment data: payments are processed directly by PayPal, Inc. Teekonda does not receive or store your full card or account details.
- Technical and usage data: IP address, browser and device type, pages visited, referring website, and approximate location derived from your IP address, collected through cookies and similar technologies described in section 6.
- Marketing preferences: whether you have subscribed to our newsletter, and, if so, which communications you have opened or clicked.
How We Use Your Data
We only use your personal data where we have a valid legal basis to do so:
- Performance of a contract: to create and manage your account, process bookings, issue confirmations, and deliver the trips you book with us.
- Legal obligation: to process payments securely, prevent fraud, and meet our tax, accounting, and consumer-protection obligations.
- Legitimate interest: to respond to enquiries, provide customer support, and keep our website secure and working correctly.
- Consent: to send you marketing communications and to run functional cookies (including AI-assisted live chat), analytics, or advertising cookies, all of which you can accept, decline, or withdraw at any time — see sections 6 and 7.
Who We Share Your Data With
We share only the data each provider needs to perform its service for us, and we work with the following categories of recipients:
- WooCommerce: the e-commerce platform that runs our booking and checkout system, on our own hosted infrastructure.
- Infomaniak (Switzerland): our hosting provider, storing our website and booking data on servers located in Switzerland.
- PayPal, Inc.: our payment processor for online payments.
- Zoho Corporation (Zoho One suite): Zoho CRM for customer records, Zoho SalesIQ for live chat, Zoho Campaigns for email marketing, and Zoho PageSense for on-site behaviour analytics.
- Anthropic PBC: the AI provider whose language models power the automated responses generated within Zoho SalesIQ live chat; messages you send through live chat may be processed by Anthropic (USA) to generate replies.
- Google Ireland Limited: Google Analytics 4 for audience and traffic analytics, Google Ads for conversion tracking, Google Tag Manager, and Google Fonts.
- Linguise: an automatic translation service that renders this website in additional languages.
International Data Transfers
Most of our data stays within the European Economic Area, including hosting in Switzerland, a country the European Commission recognises as providing an adequate level of data protection. Some providers we work with, including Google, Zoho, and Anthropic, may process data outside the EEA. Where this happens, we rely on the European Commission’s Standard Contractual Clauses, or an equivalent adequacy mechanism, to keep your data protected to EU standards.
Cookies and Similar Technologies
Cookies are small files stored on your device that let a website remember information about your visit. We group ours into four categories:
For Google’s own tags, we use Google Consent Mode: analytics and advertising storage stay switched off by default and only activate once you grant consent for the relevant category. Non-essential scripts are not loaded at all until you make a choice.
Managing Your Cookie Preferences
You chose your cookie preferences the first time you visited teekonda.com, and you can change that choice at any time — either from the “Cookie preferences” link in the footer of every page, or with the button below.
Open the preferences panel to accept, reject, or fine-tune analytics, functional, and marketing cookies.
How Long We Keep Your Data
- Booking and account data: for the duration of your relationship with us, plus the period required by Estonian and EU tax and accounting law, typically up to 7 years for financial records.
- Marketing data: until you unsubscribe, or after 24 months of inactivity.
- Consent records: kept for as long as needed to demonstrate compliance with data protection law, plus a reasonable period afterwards.
- Cookie choice: stored for 182 days, after which we will ask you again.
Your Rights
Under the GDPR, you have the right to:
- Access the personal data we hold about you.
- Rectify inaccurate or incomplete data.
- Erase your data, in certain circumstances.
- Restrict or object to how we process your data.
- Receive your data in a portable, machine-readable format.
- Withdraw consent at any time, without affecting processing carried out before you withdrew it.
- Lodge a complaint with a supervisory authority — in Estonia, the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon, www.aki.ee), or the authority in your own EU country of residence.
To exercise any of these rights, contact us at privacy@teekonda.com.
Data Protection Officer
Teekonda has appointed a Data Protection Officer, Stefano Davite, to oversee our data protection practices. For any question about this policy, or about how we handle your personal data, you can reach our Data Protection Officer at privacy@teekonda.com.
Children’s Privacy
Our website and services are not directed at children, and we do not knowingly collect personal data from anyone under 16. If you believe a child has provided us with personal data, please contact us at privacy@teekonda.com and we will delete it.
Changes to This Policy
- We may update this policy from time to time, for example when we add a new service or a new provider processes data on our behalf.
- The “Last updated” date at the top of this page always reflects the current version.
- If a change is significant, we will let you know through the website or, where appropriate, by email.
Teeky AI Virtual Assistant
teekonda.com provides a virtual assistant (“Teeky AI”) to answer visitor questions in real time. Messages you write in the chat are processed by Anthropic PBC, a US-based AI service provider, solely to generate a relevant reply. This involves transferring your data outside the EEA; as with our other providers (see section 5), this transfer relies on the European Commission’s Standard Contractual Clauses, or an equivalent adequacy mechanism, to keep your data protected to EU standards.
If you choose to leave your contact details (first name, last name, email, country) so a team member can follow up, this information is stored in our customer relationship system (Zoho CRM) and used solely to respond to your request.
For technical and security reasons (to prevent excessive or abusive use of the service), the system also records — linked to a technical visitor identifier, not your name, unless you provide it yourself — the number of messages sent and the time of the last message. This technical data is kept for a maximum of 90 days and then automatically deleted.
Please avoid sharing sensitive data in the chat, such as health information or document/payment card numbers: the assistant is not designed to collect this and we ask you not to share it.
To exercise your rights (access, rectification, deletion of your data) you can write to us at any time at customercare@teekonda.com.
